Last-minute switch: How Every Tail Vets built a tech-forward clinic with Provet – days before opening

When Every Tail Vets opened its doors in East London, co-founder Veronika Efimova hoped it would reimagine what a veterinary visit could feel like – for both clients and the clinical team.

“Our mission is to make veterinary care accessible and stress-free,” says Veronika. “We designed the clinic around the needs of modern pet owners and veterinary teams.”

That philosophy guided every choice, from the clinic space to the digital tools that support it. According to their vision, clients could book appointments online without calling, and most communication would happen through WhatsApp, where they can share photos, questions, and updates.

Every Tail Vets also created Care Club, a yearly membership that includes unlimited consultations with vets and nurses and routine vaccinations – encouraging early, proactive care without worrying about visit fees. “We wanted to remove barriers for owners to seek advice early,” Veronika says.

Searching for the right software foundation

“Launching a new clinic meant creating everything from scratch,” Veronika says. “We needed a software system that supported automation, rather than forcing clients into traditional communication channels.”

From the beginning, Every Tail Vets set out to be a tech-enabled practice. Veronika and her team were already developing internal tools – like WhatsApp automation and a Chrome extension to support consultation note-taking – and envisioned an AI-driven “practice co-pilot” that would reduce administrative work.

That vision required a practice management system (PMS) flexible enough to grow with their innovations. “We needed a modern PMS with an open API, good documentation, and the flexibility to scale our operations as we grew,” Veronika explains. “Ease of use and a nice UI can be misleading early on – what matters most is how the system performs in real workflows.”

Choosing Provet – two weeks before launch

After testing other systems, Veronika discovered that many didn’t offer the adaptability or integration options her team needed. Then, just two weeks before opening – in the midst of onboarding with a new UK-based cloud PMS – she made a bold decision to switch to Provet.

“We came across Provet early in our research but continued exploring other systems while building the clinic,” she recalls. “Two weeks before opening, we decided to switch. The open API was a major factor, as we were already planning to build our own workflows and tools.”

Provet offered the right balance of ready-to-use functionality and future-proof flexibility. “At launch, features like online booking, tasks, reminders, stock management, and integrations like VetEnvoy were already available,” says Veronika. “That meant we could start operating immediately without workarounds.”

Smooth setup and a quick go-live

Implementing new software in the final countdown to opening day could have been stressful, but the Provet onboarding process proved straightforward.

“Because we decided to implement Provet just two weeks before opening, it was important that the setup was quick and simple,” Veronika says. “One of our priorities was to have online booking live from day one, and we were able to activate it immediately.”

Every Tail Vets also launched their Care Club at the same time. “Our membership works differently from traditional monthly health plans, as it’s a yearly subscription,” she explains. “Provet supported this structure well, so we could introduce the membership exactly as planned without workarounds.”

Powering innovation with open-API flexibility

Now fully operational, Every Tail Vets continues to refine and automate their workflows – something made easier by Provet’s flexibility.

“Provet allows us to run our workflows the way we need and to build on top of the system as we grow,” Veronika says. “A key advantage for us is the open API, as we’re building internal automation and AI tools. Having a PMS that works with our tech approach instead of limiting it has been important to us.”

Beyond the technology itself, Veronika highlights the responsive customer support team: “Support has been helpful and quick to respond whenever we’ve needed guidance.”

Looking ahead: building a calm, modern ecosystem for pet care

Every Tail Vets’ ambitions extend well beyond a single clinic. “We plan to open more locations next year and expect Provet to scale with us,” says Veronika.
