How Dyreklinikken Viby SJ built the clinic it always wanted with Provet

Dyreklinikken Viby SJ, a small-animal clinic in Denmark, moved off its server-based Sanimalis software and onto Provet in April 2023. For owner and veterinarian Niels Filtenborg-Barnkob, the switch turned a system he couldn’t reshape into one he could build around the way he works.

Niels started the practice from scratch more than 30 years ago, caring mostly for dogs and cats in a small village community. Today it runs as a team of four: two veterinarians, including Niels, plus a nurse and clinic assistant working from a full-service clinic with its own laboratory, X-ray, operating room and inpatient ward. Across the team, shared records keep everyone aligned, which is why, as Niels put it, “It’s very important for us to have a practice management system that works.”

The shortcuts his old system wouldn’t let him build

Niels’ first electronic records system was Sanimalis, a server-based software that made it easier to record and find patient information. But the more he used it, the more its limits showed. He could see faster ways to work, yet the system wouldn’t bend to them.

“I wanted to make a lot of shortcuts to make my day easier, because some of the roads were very long from one point to another. But it was not possible to rewrite or reconfigure the system.”

Getting imaging and lab results into the patient record was another drag on his day. Every file had to be handled by hand.

“It had to be done manually. I couldn’t even email it to myself.”

Why Dyreklinikken Viby SJ chose Provet

As part of Nordhealth’s expansion across Norway, Sweden and Denmark, it acquired Sanimalis. When it brought its cloud-based system Provet to Denmark, Niels didn’t wait. 

“I told them, put me at the top of the list!”

His first look at Provet was equal parts daunting and promising. “My first impression was seeing how much there would be to learn! But I could also see that it was very intuitive to use. It’s very logical.”

Two things stood out. First, he could finally shorten those long roads and shape the system around his own preferences. “I very much wanted to have my own personal touch in this new system.”

Second, he was no longer tied to one computer. “It means I can be in contact with the system everywhere, anytime. I can be with my client in the exam room or sitting in my house on my iPad – so I have access 24/7.”

After a smooth implementation and staff training, the practice was up and running.

What changed day to day

With those pieces in place, Niels reworked the parts of his day that used to cost him time. The biggest change came from automating repetitive setup.

“When I select an appointment reason for each patient, Provet will automatically generate the item bundle needed for that consultation. This saves me up to five minutes per patient – that’s a lot of time.”

The patient record also became the hub it never was before. Photos from consultations and surgery now attach to the record and reach clients without extra steps.

“We use a lot of photographs in the consultation and in operations, and when I send anything to the client, the files are automatically in the patient record.”

Lab results follow the same path, importing large files straight into the record instead of by hand. For Niels, the sum of those changes is simple: Provet has been “a very big upgrade. It’s like going into paradise.”

Niels is already looking at what else the clinic can build on Provet. His plans include adding patient health plans and faster, more flexible payments through Provet Pay.
